Scheduling a Form

Some forms may have meetings associated with them that must be scheduled, such as a Formal Observation.  In addition, as part of the scheduling process, an administrator may assign a specific form (and associated meeting) for completion by another administrator.

In order for the Schedule icon to be found in the bottom section of the Process View, the scheduling setting must be turned on in the Form Settings.  Only administrators with Component Manager rights is able to access Form Settings. To review the form settings go to Component Manager, locate the form, click the edit pencil, and review the “Form Settings” section. (The scheduling icon can also be found via Detail, Admin and SuperAdmin views.)


Use the following steps to Schedule a Form from the Process View:

  • From the educator's evaluation process, expand components to locate the form that requires scheduling.
  • Click the Schedule (calendar) icon to the right of the Status column (in between the Form & Finalize icons).

  • Use the Schedule pop-up window to complete the logistics for the meeting that you would like to schedule.  Note:  The administrator drop-down list may be used to assign this particular form/observation/meeting to another administrator.  

The "Notify User" check box may or may not be visible depending on the district settings.  If it is visible and checked, that will send an automatic email to the educator with information about the scheduled event.


After scheduling, the Status for that form changes to In Progress or Scheduled depending on the district settings regarding user acknowledgement of scheduling requests.

NOTE:  If you need to re-schedule the form at any time, follow these same steps. The calendar icon will now have a pencil on it which means you can edit it by clicking on it.  You can re-schedule or cancel the appointment.

A blue Download Calendar File link appears to enable easy adding of the event into the administrator’s default calendar system.
