If a district decides to have an open documentation log for the duration of the evaluation cycle you will not have a documentation log in the evaluation process during non-summary years. In order to upload artifacts in the non-summary years, you need to go to “My Evaluations”.
Educator Only: Click on “My Evaluations” in the left navigation bar.
Evaluator Only: Evaluators may upload an artifact to an educator's files by locating the educator's name in the Process View and clicking the icon to the right.
Next, click on the “Artifacts” link.
Next, click on “Upload” to name and upload an artifact or click on "Add Statement" to name and describe evidence. A maximum character length when uploading a statement is 500 characters. To view acceptable upload formats click the blue information bubble.
Name: Give your artifact file a name
Description: Describe your artifact for your evaluator. When using the "Add Statement" feature, provide a description within 500 characters.
Types: What kind of artifact is this? Check the best type to describe your artifact (This field may or may not be required by your district).
Categories: What category does this artifact fit? Check the best category for your artifact (This field may or may not be required by your district).
Alignment & Criteria: First, choose a rubric. Click on the down arrow to drop-down the available components. Choose the one to which your artifact aligns. Second, in the next field to the right, click on the down arrow and check the corresponding criteria box. Third, click the ADD CRITERIA button. You should see the component and criteria appear in the box below. If aligning an artifact to more than one component repeat the 3 step process for additional component alignment
File: Locate your file and click the upload button (blue “up” arrow)
URL: Select if you are uploading a web address. Paste address in the File box (Maximum 50MB).
Notify Administrator: This feature is not necessary
Click SAVE.
To see where an artifact was uploaded, hover over the magnifying glass when in the Artifact Files.
If you wish to view the artifacts aligned to the standards immediately after uploading, be sure to REFRESH your screen.
Provide a summary/reflection of your artifact in the text box aligned to the artifact that you uploaded. This is an opportunity for you to summarize your artifact and why/how it shows your exceptional skill in this standard.
The artifact file will serve as a storage location for artifacts in the non-summary years. In the summary year of the evaluation cycle, there will be a documentation log in the evaluation process. The system will automatically upload all artifacts from the artifact files into the documentation log.
Edit/delete any artifacts in the artifact file prior to the start of the summary year. It is acceptable to allow all artifacts to go to the documentation log and revise. However, if all artifacts dump into the documentation log in the summary year, the user must go back to the artifact file to revise.
Artifacts must be edited or deleted from the place of origin, in this case, the artifact file. When completing the reflection in the documentation log, reflection notes from non-summary years can be viewed by scrolling down the documentation log page to the artifacts under each standard. Click the blue icon form to see notes originally placed in the description field of artifact file. This will help when completing the reflection section of the documentation log.
